Sellers live in spreadsheets: stock, prices, orders, payments. A spreadsheet is good for working, but poor for sharing. Columns look different on a phone, formulas can break, and one wrong tap changes a number. A PDF gives the other person a fixed copy to read or print. This guide explains how the tool works and when to use it.
What Excel to PDF does
You add one or more workbooks and get a PDF for each. All sheets in a workbook are included. One option lets you join the results into a single PDF.
This tool runs on our servers. The file is uploaded, converted, and deleted after 30 minutes.
- Accepts XLS and XLSX files, one or many at a time.
- Every sheet in the workbook is converted.
- Option: Combine results into one PDF. It is off unless you tick it.
- Free, with no sign-in.
How to use it
Tidy the workbook before you convert. Since every sheet is included, anything you leave in the file will appear in the PDF.
- Remove or move sheets you do not want to share, then save the workbook.
- Open Excel to PDF and add your XLS or XLSX files.
- Tick Combine results into one PDF if you want one file for all workbooks.
- Press Convert to PDF. The files are converted on our servers.
- Download the PDFs and check that the columns are readable.
How it helps sellers
The most common use is a price list. You keep the master list in Excel with your costs and margins, and you send dealers a PDF that shows only what they should see. They cannot edit it, and it looks the same on every phone.
The second is paperwork. Monthly sales summaries, purchase registers and expense sheets often go to a CA for GST work. A PDF copy is easy to read, print and file next to the invoices, while you keep the working spreadsheet.
- Send a wholesale price list or rate card to dealers as a PDF.
- Share monthly sales and purchase summaries with your CA.
- Print a SKU-wise packing list or pick list for the packing table.
- Send a purchase order or stock requirement to a supplier in a form they cannot change by mistake.
- Keep a dated PDF copy of your stock sheet as a record.
Tips for a clean result
A spreadsheet has no fixed page, so a little setup in Excel decides how the PDF pages look.
- Hide or remove cost and margin columns before converting a list meant for buyers.
- Set page orientation and column widths in Excel so wide tables fit the page.
- Delete test sheets and empty sheets, because all sheets are converted.
- Keep the Excel file as your working copy and treat the PDF as the copy for sharing.
